How to Prepare a Successful Implementation Process with Hivebrite

What are the different onboarding stages?


 

Your Onboarding Specialist will prepare a project plan for you.
In three, six or nine sessions (depending on your implementation plan), we will work together to discuss your use case and cover the following topics:

  • What your member journey(s) will look like
  • How the platform modules work
  • How to manage access rights and memberships
  • The different communication tools the platform offers
  • How to import and manage your user data
  • How to prepare a successful community launch
  • How to create an effective engagement strategy

You will be expected to watch training videos (between 15 & 20 minutes per video series. Currently being finalized) in advance of the sessions. 

What can I prepare to ensure a smooth implementation process?
 

1) Define the purpose of your community and your needs

Before the kick-off, we will ask you to complete a Discovery Questionnaire to learn more about your community's goals, stakeholders, and expectations.
Please take time to reflect on the following questions:

  • What is the purpose of your community?
  • Who are the key stakeholders and what do they expect from your community?


2) Define your expectations from the Hivebrite Platform

The better the Hivebrite Implementation Team understands your goals and expectations, the faster they can help you experience value from the platform.
What is the biggest problem you want your community to solve?
What other challenges are you currently facing in regards to managing your community?
How do you expect Hivebrite to support your community goals?
What are the top three modules you would like to use in Hivebrite and why?

3) Prepare your community’s ideal design and structure

  • How will you brand your community?
  • What modules will you activate?
  • Will you stagger the activation of different modules?
  • Do you have a mind-map of your ideal platform structure to share with the Onboarding Specialist?
  • How will your user journey look like and what user data will you need to collect?



4) Get your team ready!

Hivebrite requires people to fulfill the following roles:

  • Project Lead: This person is the point of contact and primary decision maker throughout the process.
  • IT Lead: This person provides the technical knowledge to help set up the platform.
  • Community Manager: This person drives engagement on the platform and manages it day to day. This is a key role for success!


5) Prepare the technical requirements

To prepare for a smooth technical integration, you can already start considering the following:

  • What will be your community’s custom domain (URL)? Have you purchased it already?
  • Do you want a mobile app for the community? (If yes, set up your Google and Apple Developer Accounts).
  • What is the security policy of the sender email address you will be using in your Hivebrite platform (check your DMARC policy by entering your domain name here)? If your policy is “reject” you will need to purchase a Sendgrid Sub-Account from Hivebrite or lower your security standards.
  • What color codes will you use to brand your platform? What branding assets will you use? (Logo, header images, etc). Hivebrite will ask you for the following images and image sizes:
    • Logos (400x400px, 390x93, 260x62px, 250x250px, 64x64px, 200x100px)
    • Mobile App Logos and Splash screens (1024x1024px, 1440x2560px, 1024x500px, 1242x2208, 1242x2688px)
    • Module Header Banner Images: 1352x620
    • Public Page Header Background: 1246x605px User Event image, Opportunities Image, Partner Organization Logos: 400x400 Hero Image/Cover Image for Custom Pages: 1600x470px User Profile Default Background Image: 1600x600

       

What's the next step once I sign the contract?

Your Sales Representative will introduce you to your Onboarding Specialist. You will be asked to start preparing for Implementation and complete our Discovery Form. 
On your subscription start date you will receive your invoice and the invitation to become admin of your Hivebrite platform. 

These are steps you will be able to complete once you become a community administrator.
